Position Overview

City Year Tulsa’s Events and Marketing Manager is responsible for the strategy, coordination, and execution of critical engagements throughout the year. The Events and Marketing Manager will report directly to the Managing Director of Development and be an integral part of ensuring the successful production of events and communications for internal and external audiences.

Job Description

Event Design and Execution

  • Develops and manages a comprehensive events calendar commensurate with City Year Tulsa’s benchmarks and milestones throughout the year, including national and local events and external partnerships

  • Events are both internal and external: Staff Retreats, AmeriCorps Member Opening Day and Graduation events, Civic Engagement, Fundraising

  • Engages site and generates excitement around events by serving as main point of information for staff, volunteer committees, attendees, vendors, and site leadership

  • Collaborates with fellow development team members, site leadership, and volunteers to articulate clear goals for each event

  • Secures necessary vendors, obtains quotes, secures contracts, and monitors vendor performance to ensure City Year receives exceptional service and value

  • Develops staffing plans and trains AmeriCorps members, staff, and volunteers on roles as necessary

  • Creates event budgets and tracks expenses

  • Documents and maintains records and documents for future reference

Internal and External Marketing

  • Creates all event and donor collateral including invitations, event signage, programs, impact reports, City Year school team newsletters, one-pagers, etc.

  • Manage site’s communications to corps, staff and stakeholders and implements at least quarterly e-newsletters

  • Using a variety of media, shares City Year's mission and work via asset-based storytelling that incorporates sitewide events and accomplishments, as well as stories of City Year AmeriCorps member work in schools

  • Serves as a liaison to the City Year National Marketing and Communications team to maximize our access to centralized resources and to help direct the production of future materials

Participate in Organizational Initiatives

  • Participate in corps member recruitment interviews and other duties as assigned by supervisor

Qualifications

  • Adaptivity in a diverse and dynamic environment with changing requirements and priorities

  • Track record in developing and delivering successful events, from concept to execution, that contributed to the achievement of set goals and mission of the organization

  • Ability to work independently and collaboratively, managing externally, up, down, and across the organization

  • Experience with information systems and databases, and ability to ensure all event data (attendees, volunteers, media, etc.) is appropriately tracked (Salesforce NPSP a plus)

  • Proficiency with Microsoft Office suite

  • Experience supporting education-focused work and/or education-based nonprofit organizations

  • Production experience including vendor management (negotiation, deliverables, budget, etc.), and venue selection (negotiation, deliverables, budget, etc.) is a plus

  • Knowledge of registration and communications best practices is a plus

  • Experience with Adobe suite is a plus

The salary range for this role is $50,000 - $55,000 per year.
