JOB SUMMARY

This position is onsite at the ONEOK Hanger.

Job Profile Summary

Performs specialized level of administrative support for the ONEOK Aviation Department.

Essential Functions and Responsibilities

  • Compose, prepare, and/or edit correspondence and reports from written and/or verbal instructions utilizing office equipment including but not limited to:

    • Computers

    • Printers

    • Telephones

    • Copy machines

    • Calculators

  • Provide information and/or guidance to outside visitors, managers, customers, regulatory agency personnel, vendors, employees, and others concerning but not limited to:

    • Aviation team’s schedule

    • Proper application of confidential or sensitive information

    • Company policies and procedures

    • District/departmental activities

    • Provide assistance to Aviation Scheduler

  • Plan, direct, and/or coordinate company-sponsored civic, community, and/or employee activities or programs

  • Answer department's telephone. Verify, approve, and/or disseminate requests for information, invoices, news releases, and correspondence

  • Calculate, process, and/or prepare correspondence and reports related to:

    • Lost time and vacations

    • Invoices and expenses

    • Departmental and special projects

    • Budget

  • Order and maintain inventory of office supplies and hangar supplies

Education

  • Associate's Degree in office administration or equivalent experience as follows

Work Experience

  • Administrative experience

  • Experience in use and function of office equipment applicable to position including accessing and using computer and applicable software applications

  • Experience with and/or working knowledge of functions, terminology, and policies and procedures applicable to position

  • Experience with and/or working knowledge of company accounting, customer services, and operating policies and procedures

  • Experience with and thorough knowledge of generally accepted standards for grammar and punctuation

  • Experience and training related to:

    • Word processing, spreadsheet and presentation software

    • Developing and/or maintaining filing systems and data bases

    • Handling confidential information

    • Planning conferences and meetings

    • Coordinating travel arrangements

  • Experience interacting, advising, training, directing and communicating effectively

  • Experience composing and preparing correspondence and reports

Knowledge, Skills and Abilities

  • Knowledge of: company organizational structures, terminology, and policies and procedures

  • Skills in: keyboarding

  • Ability to: apply addition, subtraction, multiplication, and division. Application of decimals and percentages.

  • Ability to: coordinate activities and/or disseminate and compile information related to budgets, meeting/travel arrangements, corporate activities, employee programs, etc

  • Ability to: communicate and/or exchange information and instructions
