DEFINITIONUnder general supervision, receives visitors and callers, provides information and performs various clerical duties for the Alternative Court Programs by performing the following duties.
Job Description
ESSENTIAL JOB FUNCTIONS
Receive visitors and caller; determine nature of business and supplies information, as authorized; direct individual to proper person. Answer incoming telephone calls and refer to proper individual, take messages or handle in the most appropriate manner. Receive, sort, stamp and distribute mail. Prior to start of business daily, receptionist will prepare office by ensuring common areas are clean and tidy and preparing coffee and water for morning meetings. Will receive, and sign for, if necessary, all incoming mail via USPS, FedEx, UPS, etc., and notifying appropriate staff of items. Will assist staff with copying needs, mailings, filing, etc., as requested. Primary individual responsible for maintaining the appearance the office/conference rooms/kitchen/common hallway, etc. The Receptionist will also be responsible for general housekeeping tasks related to the kitchen and serving area in conference rooms and meeting rooms. The Receptionist will maintain office supplies in all conference and meeting rooms where they are currently provided, including but not limited to, pens, pencils, and scratch pads for meetings. Type correspondence, reports and other material for staff, including data entry updates to program database. Perform other duties as assigned.

Skill in receiving visitors; in maintaining records and files; in personal computer; and in typing. Knowledge of departmental policies and procedures; of regulations; and of services provided.
Ability to understand and follow oral and written instructions; to exercise tact, patience and courtesy in dealing with others; to speak clearly, distinctly and in a pleasing tone; to detect clerical errors; and to cooperate and work with others.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Education equivalent to graduation from a standard four-year high school, supplemented by a course in typing, and over one year work experience as receptionist or related work.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
