Job Summary

Under general supervision performs a variety of clerical and purchasing duties concerned with the procurement of supplies and maintenance of purchasing records.

Job Description

ESSENTIAL JOB FUNCTIONS

  • Contact vendors to obtain telephone quotes as needed.
  • Coordinate with County departments and vendors to maintain Sole Source Agreements
  • Assist County departments to identify appropriate methods of purchasing and provide first-pass screening of County requisitions for adherence to County Purchasing Policy and statutory requirements.
  • Field vendor inquiries including but not limited to how to do business with the County, payment status, and bid information.
  • Maintain and update vendor certificates of insurance and W9 forms. Contact vendors to obtain updated certificates and forms as required.
  • Perform various data entry, filing, clerical and scanning duties as assigned.
  • Sorts and distributes department mail.
  • Perform other duties as assigned.

REQUIRED SKILLS, KNOWLEDGE AND ABILITIES

Skill in typing 45+ WPM; in 10-key by touch; in personal computer; in filing; in MS Outlook, Word, Excel, Internet Explorer and/or Google Chrome; in telephone etiquette and taking clear concise messages; and in maintaining accurate records and files.

Ability to make mathematical calculations with speed and accuracy; to perceive clerical errors; to exercise initiative and independent judgement; to understand and follow oral and written instruction; to work independently; to remember a variety of items in detail; and to deal tactfully with others.

Must be able to gain a working knowledge of established departmental procedures, policies and regulations; of laws, ordinances and regulations governing County financial matters; of arithmetic, spelling, punctuation, business English.

EDUCATION and/or EXPERIENCE

Education equivalent to graduation from a standard four year high school, including or supplemented by course in typing and three years full time paid employment in purchasing or related field is required.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
