Job Summary:
Responsible for providing assistance to the purchasing department staff to ensure accurate and on-time delivery of parts, vendor onboarding, and handles all reporting functions crucial to the performance of both the department and our vendors.
Essential Job Duties and Responsibilities: Purchasing
- Works with Purchasing Department to help accomplish additional daily tasks necessary to the functions of the department.
- Reviews and reports to the Sr. Manager, Purchasing any issues in Quality Return Material Authorizations. Assists Buyers with any progression and functions needed to facilitate vendor key performance indicators (KPIs) regarding quality flags on parts.
- Reviews and reports vendor and buyer KPIs when it comes to complete and accurate receiving of purchase orders.
- Files and maintains purchase orders as needed.
- Manages the purchasing email inbox and assigns email threads to the appropriate buyers.
- Creates and shares monthly purchasing reports.
- Works with Accounts Payable to key in and track all invoice variance discrepancies to ensure accurate invoicing and timely vendor payment.
- Assists Purchasing department employees with set up and daily activities regarding Vendor Managed Inventory.
- Prepares and Maintains Supplier Non-Disclosure Agreements.
- Sends new supplier packets to prospective suppliers, ensuring all procedures are followed through the set-up process.
- Assists Purchasing Department, as needed to schedule meetings, tours, and travel.
- Assists Accounting Department with month-end close documentation
- Reviews daily reports to provide feedback to the Sr. Manager, Purchasing of any issues or problems that may arise.
Qualifications
Education and Experience Requirements:
High School Diploma or General Education Degree (GED) equivalent and 3-5 years administrative experience, preferably in Purchasing or a related field.
Knowledge, Skills, and Abilities:
- Communicates effectively in written and spoken form.
- Exhibits good decision-making and problem-solving abilities.
- Demonstrates strong multi-tasking capabilities and organizational skills.
- Works with minimal supervision.

- Demonstrated ability to consistently complete work tasks accurately and timely.
Work Environment:
- Primarily works in an office environment.
- Sit or stand for up to 95 percent of work hours.
- Periodic visits to the manufacturing facility with seasonal hot and cold temperatures, dust, and some chemical fume exposure.
- Lift up to 50-lb. file boxes.
