Community HigherEd is searching for a Purchasing Assistant for the Community Care College, Clary Sage College, and Oklahoma Technical College campuses. The Purchasing Assistant will work with the Purchasing Specialist to promptly deliver supplies, books, and various equipment. The role's primary focus includes receiving and stocking supplies, assembling kits, taking Inventory, transporting supplies to other campuses (within a 1-mile radius), and shipping and receiving materials.
The ideal candidate will possess a strong work ethic, outstanding customer service skills, a sense of urgency, and be safety-oriented. Computer literacy is required to operate purchasing software, reconcile purchase orders, place orders, and correspond with stakeholders. Must be in good physical condition with the ability to meet the physical requirements listed, for the purpose of receiving, stocking, and supply management. Must be dependable and carry out tasks with a strong sense of urgency, customer service, and safety. Must have a valid driver's license to be able to make trips to other campuses and/or pick up supplies in the Tulsa metro area. Full-time Monday-Friday, full benefits!
Duties/Responsibilities:
- Communicate courteously and effectively with all students, clients, vendors and guests
- Organize and stock items, focusing on the details & accuracy
- Responsible for checking in inventory as it arrives to ensure accuracy
- Must be completely familiar with all products, their uses, side effects, or other safety concerns
- Perform research activities to determine a list of possible vendors
- Confer with campus directors to determine purchasing needs
- Make purchase orders and have them signed when needed
- Assist in the preparation of bidding documents and ensure that other documentation is in order
- Handle limited inventory activities
- Liaison with the accounting department to reconcile invoices and purchase orders
- Maintain open communication with the supervisor
- Under minimal supervision, performs all duties related to purchase order entry and post-entry supply chain tracking.
- Maintain a superior level of accuracy while creating and verifying purchase order information, including proper product costing, shipping instructions, etc.
- Coordinate order status report submissions from suppliers. Resolve changes and discrepancies, and update purchase order information accordingly
- Routine purchase order review and follow-up, and expediting of orders
- Maintain supplier price lists
- E-File all order documents
- Other duties as assigned

Qualifications
Required Skills/Abilities:
- Computer literacy requires proficiency in using the internet, email, software/apps such as Google Workspace and Microsoft Office (MS Word, Excel), and the ability to learn other campus management software quickly.

Education and Experience:
- High school diploma or equivalent required.
- Experience in shipping, receiving, and inventory is a plus.
Physical Requirements:
While performing the duties of this job, the employee is regularly required to work standing up, walk, use hands and fingers to operate tools and equipment, and speak and listen both over the phone and in person to perform the above-listed duties. The employee must frequently reach with hands and arms, climb a ladder, stoop, kneel, and crouch. The employee is occasionally required to work in a seated position, climb, or balance. The employee must regularly lift and/or move up to 50 pounds.
Must have a valid driver's license, clean background check, and drug screen.
