The Project Coordinator is responsible for assisting in the coordination of marketing materials, forms, and official documents for internal divisions and external non-profits. Working under the direction of the Project Manager, the Project Coordinator facilitates communication between clients, the graphic design team, and the print shop to ensure efficient project execution. This role involves guiding clients through the design and printing process, maintaining clear communication, and assisting with project setup. The Project Coordinator is expected to have a basic understanding of graphic design principles, terminology, and a strong emphasis on customer service.Job Description
Essential Job Functions:
- Serve as a key point of contact between clients, the graphic design team, and the print shop to ensure effective communication and project success.
- Assist clients in setting up project requests, providing basic guidance on design requirements, and informing them of available graphic design services.
- Coordinate job details such as project scope, timelines, and deliverables between clients and internal teams.
- Communicate project updates to clients and answer questions via email and phone, ensuring smooth progress and satisfaction.
- Support the graphic design team by providing necessary job details, including content, layout preferences, and client specifications.
- Assist with proofing designs and ensuring that final materials meet client approval before proceeding with production.
- Enter project details into the project management system (Print Shop Pro), ensuring accuracy and timely delivery of jobs.
- Monitor project timelines, ensuring jobs are completed on schedule and within budget.
- Provide basic customer service to address concerns and ensure client satisfaction.
- Assist with the evaluation of existing forms to identify potential areas for consolidation or improvement.
- Assist in preparing project quotes as requested and maintain clear records of project progress and client interactions.

Required Skills, Knowledge, and Abilities
Skills in customer service with the ability to communicate clearly and professionally with clients and internal teams. Proficiency in using computer applications, able to maintain organized records and track project progress and client interactions accurately.
A basic knowledge of graphic design principles, print processes, and materials commonly used in marketing and official documents. Familiarity with departmental policies and procedures related to forms and document production is beneficial. The ability to learn new tools, processes, and technologies as needed for the role is essential.
Ability to interpret and understand customer needs and translate them into clear project requirements. Strong written and verbal communication skills are necessary, with the ability to express ideas clearly and collaborate with others. The ability to work collaboratively in a team environment, adapt to feedback, and maintain a positive, solutions-focused attitude throughout the project process is also required.
Computer Skills
To perform this job successfully, an individual should have knowledge of Project Management applications, as well as word processing, spreadsheet, database, and Internet applications.

Education and/or Experience
High school diploma or (GED); and over three years full-time paid employment in an office service, printing, forms control position or a closely related job.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers and employees of the organization.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumferences, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, of diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
