This position is responsible for providing comprehensive support for all Community Development initiatives, including (20%) Diversity, Equity, and Inclusion (DEI) efforts/Mosaic and (80%) TYPROS events, programming, and volunteer activities. This role encompasses key administrative duties, such as managing departmental schedules, arranging appointments, travel, meetings, and conference calls. Responsibilities also include supporting TYPROS with project management, expense tracking, reimbursements, marketing, social media, and basic graphic design, as needed. Additional data collection and management support may be required.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Serves as the primary point of electronic communication for TYPROS Crew Leaders and Volunteers, Mosaic Members, DEI Advisory Committee, Regional Partners, and other stakeholders.
- Supports the TYPROS organization by overseeing key events and program development, project management, deliverables, and execution.
- Directs all event invitations, and information to stakeholders in collaboration with the Director of Events or event planning volunteers.
- Coordinates event marketing communications through newsletters, social media, and website management, including occasional public presentations and public relations support.
- Provides comprehensive administrative support to the Community Development department, including:
- Managing calendars and scheduling, handling email correspondence, arranging meetings and travel, and facilitating meeting preparation and execution.
- Maintaining databases and distribution lists.
- Preparing and processing payment requests and expense reports, tracking payment status, and interfacing with accounts payable to clarify issues and resolve problems.
- Assisting with financial planning and budget maintenance.
- Generating reports and presentations, including monthly action reports and board presentations.
- Executes assignments requiring considerable judgment and initiative. Understands the implications of work and recommend solutions.
- Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner.
- Develops, implements, and maintains procedures and processes to maximize the effectiveness and efficiency of the Community Development division, ensuring all team deadlines and obligations are met.
- Determines methods and procedures for new assignments and provides guidance to other personnel.
- Creates and modifies presentations by importing information from various Microsoft Office/Google Suite/Canva applications (e.g., importing graphs or graphics from Excel into Word or PowerPoint).
- Responds to incoming calls promptly and in a service-oriented manner.
- Proactively manages the inflow and outflow of incoming data, such as correspondence, mail, and email, including the maintenance and enhancement of current digital filing systems.
- Performs other incidental and related duties as assigned.
Qualifications
KNOWLEDGE, SKILLS, AND ABILITIES:
- Graduation from an accredited institution with a High School Diploma or equivalent is required.
- Preferred: Graduation from an accredited college or university with a Bachelor's degree.
- Preferred: 2 years of experience in volunteer management.
- Preferred: 2 years of experience marketing, advertising, public relations, journalism, communications, and/or event planning.
- Must be able to attend at events and meetings outside of normal business hours. Must be able to work a flexible schedule as needed to accommodate these events and meetings.
- Must have proven project and team management skills.
- Requires excellent follow-through and organizational skills.
- Demonstrated attention to detail and ability to handle highly confidential information.
- Strong aptitude for working with volunteers and building relationships at all organizational levels.
- Exceptional interpersonal skills, understanding of group dynamics, and ability to develop and foster relationships.
- Ability to manage sensitive and confidential situations and documentation with discretion. This position interacts with sensitive, complex, and confidential information, and will be required to interpret and communicate executive intent to other managers. A thorough understanding of corporate policy and organizational processes is essential.
- Requires the ability to work independently on highly complex projects, using analysis, initiative, and independent judgment.
- Proficiency in multiple software applications, including:
- Required: Google Suite, Microsoft Word, Excel, Outlook, PowerPoint, and database management.
- Required: Communication platforms such as Slack and Microsoft Teams.
- Preferred: Project management software such as Asana.
- Preferred: WildApricot membership management software.
- Preferred: Salesforce Nonprofit Success Pack.
- Effective time management skills and ability to work under pressure and meet multiple deadlines.
- Excellent verbal and written communication skills with a strong command of grammar.
- Ability to manage multiple projects and objectives simultaneously under tight deadlines.

WORK AND PHYSICAL REQUIREMENTS:
- Work Environment: Standard office environment with minimal exposure to excessive noise or adverse environmental conditions. Occasional outdoor exposure to varying temperatures and environmental elements. Flexible remote work and scheduling options are available. Must be available to work evenings and occasional weekends.
- Physical demands: Ability to manipulate, handle, feel, and control items or equipment. Ability to read, write, and interpret written documents. Occasionally lift and move objects weighing up to 50 pounds.
