Position Information Position Title Postal Substation Supervisor Job Description Job Summary:Under general supervision, the Manager of Mail Services oversees the day-to-day operations of campus mail services, including incoming, outgoing, and internal mail, as well as print/mail production. This role provides supervision and training for mailroom staff and ensures high-level customer service is delivered consistently across operations.
Essential Functions (Responsibilities):
- Train, mentor, and supervise mailroom staff in all aspects of mail processing, sorting, and delivery.
- Deliver individualized training covering job responsibilities, customer service, safety practices, and departmental policies.
- Maintain the departmental procedures manual and ensure compliance with all university and postal regulations.
- Recommend and help implement short- and long-term strategies for efficient mailing, processing, and delivery of U.S., international, and campus mail.
- Maintain accurate records, including digital filing of check requests, journal entries, and other department documentation.
- Acquire and manage postal permits; advise departments on cost-effective mailing strategies to support university-wide savings.
- Provide direct customer support, answering inquiries related to USPS policies, internal mail procedures, and best practices.
- Sort and process incoming U.S. and campus mail, including parcels and bulk mail; meter outgoing domestic and international mail in accordance with USPS regulations.
- Manage mailroom budgets, including university and USPS postage accounts, as well as procurement of supplies.
- Perform daily budget reconciliation for postage transactions with both the university and USPS.
- Follow and enforce all applicable university policies and mailing standards.
- Perform other duties as assigned.
Required Qualifications Required Qualifications: Knowledge/Skill/Ability
- Excellent interpersonal and communication skills; ability to work effectively across a diverse campus community.
- Commitment to outstanding customer service with a proactive, solutions-oriented mindset
- Ability to understand and follow safety procedures.
- Knowledge of United States Post Office regulations.
- Ability to follow schedules and meet deadlines.
- Proficient in operating and maintaining mailroom equipment, including metering machines.
- High attention to detail and organization skills.
- Education: Typically, a high school diploma or GED is required.
- Experience: Minimum of 2–5 years in mailroom operations, with at least 1 year in a supervisory role.
- Skills: Strong organizational, communication, and leadership skills; proficiency in mailroom software and equipment.
- Certifications: Valid driver’s license; knowledge of postal regulations is essential.
