The Position
The successful office manager/receptionist is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office. This role is located in our downtown Tulsa, OK office and will require a regular presence in the office five days per week.
Responsibilities Will Include
- Oversee the day-to-day operations of the office, including maintaining common areas, managing supplies, and ensuring the office is clean and well-kept
- Organize and schedule meetings and appointments for C-Suite Executives
- Expense report entry and management for C-Suite Executives
- Assistance with travel arrangements and accommodations
- Oversee visitors to the office and ensure a friendly, personal experience
- Organize and order on-site catering
- Liaise with facility management to maintain the office condition and arrange necessary repairs
- Acting on-site safety coordinator
- Assist with special projects and party planning
- Assist Executive Team with occasional out-of-office errands
- Assist Executive Team with other tasks as assigned
Qualifications
Required Skills and Abilities
- Exceptional organizational skills with a strong ability to prioritize, manage deadlines, and successfully deliver in a fast-paced environment
- Excellent communication, interpersonal, and relationship-building skills
- Strong familiarity with key productivity tools (e.g., Microsoft Suite)
- Ability to work independently and cross functionally with different departments
Education and Experience
- High School Diploma
Global will require a pre-employment drug screening.
