About the job

This position is needed to to support our Executive Engagement Programs and two Executive Briefing Managers.

We are seeking an organized Executive Briefing Specialist to support Executive Engagement Programs and two Briefing Managers. You’ll work closely with Administrative Business Partners (ABP), executives, and top-tier customers to manage briefings, advisory workshops, and product forums. Adaptability is key, as you’ll handle last-minute changes with ease. Proficiency in data entry across systems is essential for tracking program progress. This role involves managing multiple projects efficiently while ensuring exceptional customer service.

Responsibilities

In this role, you’ll:

  • Support in delivering high-end executive programs (executive briefings and executive events) through in-person and virtual formats with attention to details and white-glove VIP experiences.
  • Collaborate with Briefing Managers on logistics which involve scheduling programs, arranging catering, securing off-site meeting locations, and ensuring proper room AV and furniture setup.
  • Collaborate with key stakeholders to ensure clear communications for each program.
  • Take meeting minutes and action items during Executive Programs prep calls.
  • Take point on data documentation and filing systems not limited to Google folders, calendars, Airtable, etc.
  • Accurately enter data into Briefing software and Airtable for each executive program, ensuring that program agendas and the details of both internal and external attendees are comprehensively captured for each event
  • Track EEP events in SFDC ensuring that external attendees are entered in the event campaigns.
  • Produce professional-quality folders, presentations and briefs
  • Support special projects and events as needed. Ex: Discussion Leaders Club & Creator Summit and/or Exec Connect.
  • Support reservations and scheduling for dining, entertainment, and transportation.

Required:

  • 3+ years experience in a customer service role a plus
  • Experience with working C-Level Executives
  • Advanced communication skills across all levels and channels
  • Experience with the setting up and management of virtual meeting platforms such as Zoom, Webex, and conference calls
  • Familiarity with CRM platforms (Salesforce)
  • Familiarity with Nexus - Briefings platform
  • Experience developing and editing internal and external documentation, templates and document management systems
  • ​​Flexibility to stay to support happy hours or customer dinners beyond regular work hours, 2-3 times a month, as executive briefings may occasionally run past schedule.
  • Extremely detail-oriented and organized, keeping projects, meetings and teams on schedule and never missing a beat
  • Enjoys working in a fast-paced environment; Able to work independently under time constraints to meet deadlines

Desired:

  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Google Suite, BriefingSource, Nexus and Airtable.

Location

This role will be remote; however, the candidate needs to reside in driving proximity to the SF office.

Travel

  • Please note this role is open to candidates outside of Colorado, California, New York, Washington and Washington D.C. The information below is provided for candidates hired in those locations only.

The estimated pay ranges for this role are as follows:

  • Based in Colorado or Washington D.C. : $84,320 - $105,400.
  • Based in New York, Washington State, or California (outside of the San Francisco Bay area): $89,280 - $111,600.
  • Based in the San Francisco Bay area, California: $99,200 - $124,00.
  • This role may be eligible to participate in Twilio’s equity plan and corporate bonus plan. All roles are eligible for the following benefits: health care insurance, 401(k) retirement account, paid sick time, paid personal time off, paid parental leave.

The successful candidate’s starting salary will be determined based on permissible, non-discriminatory factors such as skills, experience, and geographic location within the state.
