Job Description

SUMMARY

Provide the administrative support operations of an executive level position. Responsible for confidential and time sensitive material. Prepare routine and advanced correspondence including letters, memoranda and reports.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes the following:

  • Manages daily schedule and coordinates meetings.
  • Prepares and manages meeting agendas and other meeting materials.
  • Coordinates travel logistics and assists with travel plans and business expenses, as necessary.
  • Maintains files of correspondence, minutes and other records of routine and confidential material in an efficient manner.
  • Performs administrative duties to include correspondence, memos, reports and other related support functions as required, including transcription of meeting notes, reports, etc.
  • Attends meetings as requested and keep the executive apprised of progress/status of internal projects and routine operations.
  • Communicates policies, objectives and operational procedures to the department managers and others as necessary.
  • Processes mail, answers telephone calls, directs messages to appropriate areas and responds to requests.
  • Helps build a culture of service that will ensure that the changes implemented will be enduring.
  • Aligns resources to execute administrative “best in class” industry standards.
  • Supports the general office environment as directed.
  • May manage office equipment and other vendor and deal with building/office management issues.
  • Performs other job-related duties as assigned.

SUPERVISORY/MANAGEMENT AUTHORITY

May lead and/or guide the work of other employees.

EDUCATION AND EXPERIENCE

Associate’s degree and 7 or more years of previous administrative experience or an equivalent combination of education and experience. Completion of college level coursework or an accredited secretarial technical training is preferred.

KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent written and verbal communication and presentation skills.
  • Must be proficient with Microsoft Office products and the ability to learn other enterprise systems.
  • Demonstrated ability to handle confidential and sensitive information.
  • Demonstrated strong attention to details, planning and excellent organizational awareness skills.
  • Excellent interpersonal skills with the ability to interact with employees, vendors, and customers of various levels and backgrounds.

WORK ENVIRONMENT

Work is primarily performed in a climate-controlled office setting.
