At a Glance:

H&P is looking for an Executive Assistant to support the SVP & CFO and the Finance leadership team. This role will coordinate and manage executive scheduling, prepare and organize important strategic materials and plans, and support board meetings and the preparation of board materials. This role serves as the eyes and ears for the CFO, connecting organizations, projects, and critical business information to the CFO, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the priorities of the business.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the CFO’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Executive Management Team, Board of Directors, and leaders that report to the CFO. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.

This position is expected to be filled in Tulsa, OK or the greater Tulsa area.

What you will do:

  • Works directly for SVP & CFO to support all aspects of her daily routine.

  • Maintain the SVP & CFO's calendar, including scheduling meetings, appointments, outside engagements, and travel (includes domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.

  • Receive and screen the SVP & CFO's phone calls, emails and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.

  • Determine priority of matters of attention for the SVP & CFO; redirect matters to staff to handle, or handle matters personally, as appropriate.

  • Keep the SVP & CFO advised of time-sensitive and priority issues, ensuring appropriate follow-up.

  • Routinely perform a wide variety of support duties.

  • Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.

  • Sort and triage mail; maintain e-mail and other address directories.

  • Compose and prepare letters relating to routine correspondence for the SVP & CFO signature.

  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.

  • Prepare, reconcile, and submit expense reports.

  • Maintain confidential and sensitive information.

  • Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.

  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.

  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Qualifications:

  • Strong, effective written and spoken communication skills along with excellent research and organizational skills.

  • Ability to maintain a high level of confidentiality.

  • Minimum of 5 years’ experience working as a c-suite executive-level administrative assistant.

  • Strong experience in planning, organizing, multi-tasking and carrying out the daily activities and administrative functions of an executive office.

  • Bachelor’s degree preferred.

  • Must be proficient in Microsoft Office with the ability to learn new software and computer systems as well as advanced use of PowerPoint, Excel, Outlook and other business management software.

  • Competent with IT and internet skills, particularly web research.

  • Must be a team player and self-motivated.

  • Must be able to relate on a cross-cultural level as well as display good personal and interpersonal skills in the office.

  • Ability to establish and maintain highly effective working relationships with senior management, and other appointed officials, including staff, board members, etc. Use a high degree of tact, discretion and diplomacy in dealing with sensitive situations.

  • Exceptional organizational and time-management skills.

  • High level of accuracy and attention to detail.
