Description

The Executive Assistant provides administrative support to the Executive Leadership Team, frequently handling confidential, sensitive, and urgent information and materials.

PRINCIPLE DUTIES AND RESPONSIBILITIES

  1. Assists with managing meeting details for the Executive Leadership Team and Board of Directors, including but not limited to: scheduling, coordinating travel arrangements, preparing and distributing materials, and providing technical assistance.
  2. Assists with recording corporate minutes for Board-level committees, and executive and senior management meetings.
  3. Serves as back-up to the Corporate Secretary in managing administrative matters for the Executive Leadership Team, Board of Directors, and Shareholders.
  4. Coordinates travel arrangements for the Executive Leadership Team and Board of Directors.
  5. Files expense reports for the Executive Leadership Team.
  6. Maintains the executive conference room.
  7. Greets visitors for the Executive Leadership Team.
  8. Performs other duties as assigned.

Qualifications

EDUCATION AND/OR EXPERIENCE

  • High School Diploma, or equivalent, required.
  • 1-3 years’ experience executive administration, required.

KNOWLEDGE, SKILLS, AND ABILITIES

  • A significant level of tact, discretion and diplomacy essential.
  • Excellent verbal, written, and interpersonal communication skills.
  • Detail-oriented and strong organizational skills.
