JOB DESCRIPTION
- FULL TIME
Responsible for providing administrative, clerical, and project support that contributes to the overall function of Enrollment Management. This position priorities organization, customer service and communication. May also spearhead special assignments and projects in matters pertaining to the administration of Enrollment Management.
RESPONSIBILITIES
Administrative:

Provide administrative support to ensure efficient operation of all organizations within Enrollment Management.

Create and update records and databases with personnel, financial and other data.

Maintains schedules and coordinates department events in collaboration with department team members.

Exhibit polite and professional communication via phone, e-mail, and mail.

Answers phone calls, schedules meetings and supports visitors.

Manage scheduling, appointments, and travel arrangements.

Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms.

Prepare communications, such as memos, emails, invoices, reports and other correspondence

Participates in other projects serving all branches of Enrollment Management

Provides additional support to the Welcome Center Coordinator

Helps with maintaining office supply inventory across all organizations within Enrollment Management
-
Contribute to the overall success of the Enrollment Management team and complete additional tasks as needed.
Finance
-
Monitor and administer purchasing functions—ensuring compliance and timely submission of requisitions and work orders utilizing the appropriate software/platforms.

Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and budget tracking.

Prepare and send invoices, maintain client databases, track accounts, and assist with distributing production orders and other internal documents.

Maintain excellent working knowledge of the travel systems for the purpose of supporting recruitment travel efforts including, but not limited to, processing travel reservations, ensuring all trips are properly entered for pre-approval, and post-trip reimbursements are promptly entered in the ChromeRiver system.
Events

Liaise with the Enrollment Management team and other University departments to provide event support as needed.

Provide administrative support to ensure efficient operation of all organizations within Enrollment Management.
REQUIREMENTS
Knowledge & Experience
-
Proven experience as an office administrator, office assistant or administrative role

High school diploma, GED, or equivalent

Familiarity with office management procedures and basic accounting principles

Excellent knowledge of MS Office and office management software (ERP etc.)
Skills & Abilities
-
Multi-tasking and time-management skills, with the ability to prioritise tasks. Must have the ability to effectively deal with persons from a variety of cultural backgrounds.

Maintains compliance with the Family Educational Rights and Privacy Act (FERPA).
