Job Summary

Under general supervision, assists Election Support Coordinator in coordinating and supervising data entry, ballot processing, training, and customer service by performing the following duties.

Job Description

ESSENTIAL JOB FUNCTIONS

  • Assist with supervision of absentee application data entry, communicate directly with voters requesting absentee ballots and resolve issues as needed.
  • Maintain files and correspondence logs as well as trains and supervises other full time and part time staff in data entry.
  • Assist with managing Absentee Early In-Person Voting sites.
  • Coordinate data entry with Registration department to ensure accurate and timely processing for ballot distribution.
  • Maintain computer records for early absentee voting and annual requests.
  • Process all Military Oversees Absentee Ballot (MOAB) information and Federal Write-in Absentee Ballots (FWAB) as well as Emergency Absentee Ballot requests.
  • Maintain absentee voting files in the Modern Election Support Application (MESA) computer system.
  • Assist Election Support Coordinator in solving problems which may occur during any election.
  • Assist with supervision of absentee ballot processing including meeting deadlines and maintaining absentee mailing packets supplies for each election mailing.
  • Assist with precinct change letter mailings and entry of undeliverable mail.
  • Assist Election Support Coordinator in all Absentee mail processing including managing board meeting processing and ballot scanning as well as ballot printing for all Military Overseas Absentee Ballots (MOAB).
  • Train and manage Special Absentee Board Members in the specific duties required.
  • Assist Absentee Data Entry department in data entry, filing and maintaining ballot distribution lists.
  • May train part time staff to assist in board meetings and Absentee Ballot mailing.
  • Assist with supervision of precinct supply checkout staff.
  • Assist with restocking supplies in precinct bags, boxes and notebooks.
  • Assist with supervising, coordinating, and training for Nursing Home Absentee Voting Boards.
  • Assist with ballot accounting and security.
  • Perform other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Skill in:

  • Operating a personal computer; accurate and efficient data entry

Knowledge of:

  • Departmental policies and procedures
  • Election law and the Secretary’s Digest
  • Microsoft Word, Excel, Access and Power Point software programs; laptop computer equipment, presentation equipment, including projector and speaker systems, and current voting equipment
  • Tulsa County and the voting precincts
  • Street indexes, maps and boundaries relating to all Tulsa County entities and unincorporated areas of Tulsa County

Ability to:

  • Train adults and supervise others
  • Understand and follow oral and written instructions
  • Communicate clearly, write routine reports and correspondence
  • Exercise tact, patience and courtesy in dealing with others, cooperate and work with others

SUPERVISORY RESPONSIBILITIES

Assists in supervising one full-time employee and may supervise the work of part-time employees, as needed. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, and training part-time employees; planning, assigning, and directing work; and addressing complaints and resolving problems.

EDUCATION AND/OR EXPERIENCE

Associate’s Degree in Business, Management, Accounting or Education from and accredited college or university; plus at least one year of related experience.
