JOB DESCRIPTION
- FULL-TIME

This critical position manages the Development and Alumni Relations database by assisting with data reports, planned giving, prospect research and reporting on financial and activity information. The ideal candidate will be technically and computer savvy, an excellent problem solve and a fast typist with a keen eye for detail.

RESPONSIBILITIES

  • Updates and maintains CRM Advance database with development information such as caseload assignments, Giving societies, demographics information and other development-associated information.
  • Maintain high level of data cleanliness. Resolve data discrepancies and update the database. Investigate irregularities in data base records and data elements.
  • Daily / Weekly / Monthly donor development information tracking using tools in place and communicating those to department.
  • Daily Gift Report creation – uses this to verify gifts processed, designations and gift receipts
  • Giving Society Reports / Pledge Forecasting / Aging Reports – Maintain lists – update daily/as they come in
  • Daily review gifts received / Monitoring of gifts, pledges, designations – Communication with finance
  • Compiles constituent mailing and contact lists and reports as requested via Communication Plans.
  • Export/Import of data from/to CRM Advance. Concatenate data in excel on a regular basis.
  • Assist with the pre and post financial tracking information for certain events and or solicitation activities associated with the development department. May include but not limited to working with outside vendors or ORU departments.
  • Develops views, lists and dashboards using Advanced Find and Dashboard creator as needed and requested, to track giving, giving societies, event participation, alumni engagement scoring, pledges, communications, etc. Run ad hoc data queries upon request
  • Assist/Facilitate Ethos data provisioning for student/alumni data.
  • Attends department meetings and events, all other duties as assigned.

REQUIREMENTS

EDUCATION:

Requires an associate’s degree and 2-4 years of experience in an administrative position preferred. Bachelor’s Degree preferred.

EXPERIENCE/SKILLS/ABILITIES:

Ability to timely manage multiple projects, meet tight deadlines, and have clear communication with guests and students. Must have excellent interpersonal, verbal, reading, written, mathematical, multitasking, and conflict resolution skills. Must have ability to handle stress and prioritize multi-tasks in an office with high customer/client traffic and calls. Must be self-motivated and be able to handle multi-tasks and demands, make on-the-spot decisions, and be flexible to changes. Must have knowledge or learn how to use new database and software systems is required.

Must have the ability to:

  • Handle multi-tasks in the midst of a sometimes fast-paced office environment.
  • Must be detail oriented, have excellent problem solving and intuitive skills.
  • Must be proficient and have a high level of usage in include MS Word, Excel, and Power Point, especially Excel.
  • Maintain a professional demeanor at all times, especially for the purpose of receiving and transmitting information.
  • Quickly establish and maintain rapport with alumni, students, parents, faculty, and administration.
  • Use sound judgment regarding organizational and departmental regulations, procedures, and policies.
  • Must maintain a high level of confidentiality of information.
  • Knowledge of CRM databases (i.e. CRM Advance, Slate, PeopleSoft) preferred, but not required
  • Maintains compliance with the Family Educational Rights and Privacy Act (FERPA) policy and its procedures.

TRAVEL:
Required to work during special events and meetings (ie: Homecoming and Commencement), which involves evenings and weekends.
