Position Information Position Title Department Assistant II Job Description Job Summary: The Department Assistant reports to the Assistant Director of Operations and Finance and is responsible for managing our front desk operations as well as providing administrative support to University School staff, students, and families. Essential Functions (Responsibilities):
  • Greets visitors, answers, and routes incoming calls.
  • Handles routine correspondence for the department leadership.
  • Purchases and maintains office supplies as needed.
  • Processes mail.
  • Assists with travel arrangements.
  • Maintains reception and common areas.
  • Assists in compilation and retention of meeting minutes.
  • Provides support for University School events and functions.
  • Maintains confidentiality and discretion regarding college data, files, and personnel information.
  • Performs other duties as assigned/needed.
Required Qualifications Knowledge/Skill/Ability
  • Excellent organizational, communication, and customer service skills.
  • Ability to multi-task efficiently in a fast-paced environment, drive projects to completion, and act with a sense of urgency.
  • Experience with Microsoft Office programs.
  • Excellent verbal and written communication skills, ability to communicate effectively at all levels of the company.
  • Demonstrated effectiveness in working with a diverse group of people.
  • High attention to detail, demonstrated practice of establishing effective priorities and meeting deadlines.

Equivalent Education/Experience
  • High School Diploma required.

Preferred Qualifications Experience working with children or in a school environment preferred.
