Job Description

Essential Qualities

The Compliance Associate at Tulsa Educare is responsible for collecting, documenting, and monitoring child health data and ensuring compliance with all health and safety regulations (EHS/DHS/NAEYC). Tulsa Educare is seeking a Compliance Associate who embodies these essential qualities:

Essential Functions

Child Health

  • Oversees the school’s implementation of the agencies child health and safety protocols including child classroom exclusions
  • Serve as the ongoing point of contact at the school level for families and/or teachers with health and/or nutrition questions including those related to illness and exclusions
  • Work collaboratively with families, and Family Advocates as necessary, to gather information to ensure compliance with the State Early and Periodic Screening, Diagnostic and Treatment (EPSDT) including ensuring health insurance coverage
  • Document and monitor child health data in ChildPlus according to set requirements; track follow up on all referrals
  • Perform sensory screenings as required; collaborate with teachers to ensure timely completion of required developmental and social emotional screenings
  • Maintain and audit electronic child files
  • Responsible for accurate medication documentation, incident/injury reporting, and allergy tracking

Health and Safety

  • Facilitate and/or ensure all necessary health and safety staff trainings are scheduled for existing and new employees
  • Ensure safe environment (playground, classroom, building, etc.) monitoring systems are performed as required
  • Complete monthly emergency drills and tests and ensure maintenance of health supplies
  • Document and ensure completion of maintenance and safety hazards using the internal Work Ticket system

Other

  • Facilitate and/or schedule family engagement as requested around child health and/or health and safety and nutrition
  • Participate in regular supervision, team/staff meetings, multi-disciplinary child meetings, trainings, and advisory meetings as required
  • Provides daily front desk coverage
  • Complete weekly and/or monthly reports
  • Assists with special projects, reports and other duties as needed

Qualifications

Knowledge and Skills

Broad knowledge and experience in:

  • Head Start Performance Standards, Child Care Licensing and child/adult food program regulations
  • Making quick informed decisions regarding child health and safety and communication information to a variety of individuals
  • Auditing of records and ensuring compliance with written or oral guidelines
  • Developing collaborative partnerships and work in a team environment
  • Balancing and prioritizing multiple projects and priorities and following through to completion
  • MS Office skills, database software skills, organizational skills, efficiency skills and excellent attention to detail with a demonstrated commitment to completing assignments on a timely basis

Minimum Qualifications

  • Bachelor’s degree with 3-5 years of administrative assistant experience or High School Diploma/G.E.D with 5-6 years of administrative assistant experience

Other

Primarily an office position with some local travel (exposure to normal traffic hazards). Must possess a valid Oklahoma Driver License and satisfactory driving record and use personal automobile to travel to locations other than primary office. Will be working in filing cabinets which require bending, stooping, lifting, pushing and pulling throughout the day. Ability to lift and carry up to 25 pounds. Regular and reliable attendance required.
