JOB DESCRIPTION

The Communications Coordinator will coordinate all digital media communications and assist with some print communications with the Development and Alumni Relations team; web content, email and social media, and some print, for specific funding initiatives with the highest level of customer service in relation to department and university initiatives. This position will also be primarily responsible for creating and maintaining Communications Plans within CRM Advance in conjunction with the Director of Business Operations.

RESPONSIBILITIES

  • Coordinate all digital communications including but not limited to: Designing, loading, testing, and launching all electronic department communications. Create content in html code. Segment e-communications as directed. Maintain a system of reporting post-launch metrics. Work with Data Analyst or Director of Business Operations on data segmentation and retrieval of data lists as needed.
  • Coordinate and maintain content on the alumni and development web pages. Create and maintain an annual web content update plan. Continually improve skills in web content management.
  • Coordinate communication of social media initiatives that correspond to the Development and Alumni Relations campaigns.
  • Create and maintain all Communications Plans within CRM Advance, in conjunction with the Director of Business Operations. Maintain and communicate consistent solicitation/appeal codes.
  • Work with the Director of Business Operations to maintain the communications calendar. Take initiative to suggest relevant ideas for increased efficiency or to update information. Assist as needed with formatting, printing and mailing printed department communication.
  • May assist with creation and maintenance of event registration pages within CRM Advance and EventBrite.
  • May, from time to time, concierge guests who visit or call the Office of Development & Alumni Relations, including major donors, corporate and ministry leaders, and alumni and friends. Work with department staff to ensure the VIP guest needs are met at the highest standard. May, from time to time, attend meetings, events, and other gatherings as needed serving as a department delegate in the highest professional manner.
  • Assist Associate Director of Donor Relations with content writing tasks.
  • Under the direction of the Director of Business Operations, assist with any other marketing related tasks as needed.
  • Stay current on all relevant data, statistics, best practices in regards to digital media communications. Share, update, educate team on learned practices.

REQUIREMENTS

EDUCATION:

A Bachelor’s degree is preferred, Associates degree required. Degree in communications, PR, marketing, graphic design or other associated development areas is preferable.

LICENSE OR CERTIFICATION REQUIREMENTS:

Must possess a valid Oklahoma driver’s license and have an excellent driving record for the purpose of occasional driving University vehicle.

EXPERIENCE/SKILLS/ABILITIES:

  • Must have working knowledge of building and maintaining the structure and content of all email communications using Hypertext Markup Language (HTML).
  • Must have excellent interpersonal, verbal, reading, written, mathematical, and conflict resolution skills. Ability to multi-task and self-manage.
  • Must be self-motivated to be able to handle multiple tasks and demands, make on-the-spot decisions, and be flexible to change.
  • Demonstrates excellent verbal and written communication skills, strong work ethic, good judgment and maturity.
  • Must have ability to handle stress and prioritize multiple tasks in an office with high customer/client traffic calls.
  • Ability to juggle multiple projects, meet tight deadlines, and have clear communication with co-workers and external vendors.
  • Ability to create in an intense, sometimes-distracting office atmosphere with frequent interruptions.
  • This person should be well-read, naturally inquisitive about people, and exhibit an innate desire for interaction.
  • Computer experience must include Microsoft Word and Excel. Knowledge of Banner, Wealth Management a plus.

HOURS OF WORK & ATTENDANCE:

Normal work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional work beyond normal schedule may be required.

TRAVEL:

Required to work during special events and meetings (ie: Homecoming and Commencement), which involves evenings and weekends.
