Job Summary

Under general supervision, maintain bookkeeping records and performs bookkeeping duties for the division by performing the following duties.

Job Description

Essential Job Functions

  • Assist with capital inventory, purchase orders, maintenance/lease agreement and employee time records.
  • Prepare purchase order and quote sheets.
  • Assist with pre-expense and post expense billings for all Federal. State. County, local school, municipal and special elections.
  • Assist with weekly, monthly, quarterly, and annual financial reports.
  • Maintain bookkeeping records and balance budgeted funds and Special Depository Account monthly.
  • Contact vendors for invoices, delivery tickets, and prices as needed.
  • Assists in providing election records to bond companies.
  • Perform other duties as assigned.

Required Skills, Knowledge and Abilities

Skill in typing 40 to 45 WPM; key by touch, computer; in other related office machines; and in filing.

Knowledge of the principles and practices of bookkeeping; of personal computers and software such as Excel, Word, and Internet; of established departmental procedures, policies and regulations; of laws, ordinances and regulations governing County financial matters; and of arithmetic.

Ability to organize and present bookkeeping information in prescribed form; to make mathematical calculations with speed and accuracy; to perceive clerical errors; to meet deadlines; to exercise initiative and independent judgment; to understand and follow oral and written instructions; and to deal tactfully with others.

Computer Skills

To perform this job successfully, an individual should have knowledge of Spreadsheet and Word Processing software.

Supervisory Responsibilities

This job has no supervisory responsibilities.

Education and/or Experience

High school diploma or general education degree (GED) and at least three years of satisfactory, full time

paid employment in accounting, bookkeeping, or related work.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers and employees of the organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, of diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
