Job Summary

The Accounts Payable Associate is primarily responsible for the processing and payment of all invoices in an accurate and timely manner. This includes but is not limited to maintaining accurate A/P files, ensuring accurate set-up of vendors, and supporting the regional offices in all matters related to accounts payable.

Essential Functions

  • Represent the Company at all times with high moral standards while adhering to the Company’s “Code of Business Conduct and Ethics.”
  • Actively support the Company’s commitment to safety and its “Core Values.”
  • Set-up and maintain vendor files. Audit all new vendor setups.
  • Select and process weekly check runs for each regional office. In addition, select and process checks daily to take advantage of discounts.
  • Process weekly expense reports for all regions; enter all inter-company invoices for all regions.
  • Enter, process, and distribute child support assignment payments and other employee garnishment payments for all regions weekly.
  • Code, enter and maintain all files on all taxes, freight, check requests, expenses, invoices, etc. for the corporate office.
  • Interact frequently with regional personnel on A/P issues; act as a reference sources for the regions on all matters related to accounts payable.
  • Research discrepancies and questions regarding A/P.
  • Code, enter and maintain all files on all taxes, freight, check requests, expenses, invoices, etc. for the corporate office.
  • Reconcile and maintain monthly field check registers for all regions.
  • Process, review, print and distribute 1099’s at year end.
  • Provide back-up coverage for the Receptionist, to include answering multi-line telephone, forwarding calls, and greeting visitors.
  • Perform additional responsibilities, as directed.

Qualifications

  • 1+ year’s general accounting and/or accounts payable experience.
  • Computer proficiency, including MS Excel, Word, and Outlook.
  • Strong organizational and communication skills required; must be a self-motivated individual.
  • Strong detail orientation; must have ability to prioritize work and meet deadlines.
