About the American Song Archives:
The American Song Archives manages the Bob Dylan Center® and the Woody Guthrie Center® in Tulsa, Oklahoma. These centers house the archives of Bob Dylan, Woody Guthrie, Phil Ochs, Tom Paxton, Cynthia Gooding and many others.
The Bob Dylan Center® serves to educate, motivate and inspire visitors to engage their own capacity as creators. While the center is anchored by a permanent exhibit on the life and work of Bob Dylan, it also offers additional exhibits, public programs, performances, lectures and publications, through which it aims to foster a conversation about the role of creativity in our lives.
The Woody Guthrie Center® is dedicated to spreading Woody Guthrie’s message of diversity, equality and justice to a new generation who can create their own ripples of change. The center, which opened in 2013, honors Guthrie’s life and legacy by educating visitors, teachers, students and scholars about his relevance today and his important role in American history through on-site programming, classroom materials, youth music programs, artist-in-residence programs, school outreach, internships, fellowship opportunities and the Woody Guthrie Archives.
Position Purpose:
Reporting to the Senior Director of Development & Finance, the Accounting Clerk position provides general accounting, clerical, and administrative work in accordance with established processes. This position will be responsible for cash handling, completing reconciliations and deposits, submitting invoices for payment, and assisting with the creation and maintenance of the organization’s budgets.
Essential Duties:
- Assemble invoices and expense reports to ensure timely payments
- Responsible for cash handling and accurately and efficiently completing reconciliations and deposits on a daily basis
- Track actual vs. budgeted expenses for events, grants, exhibitions, and organizationally
- Provides accurate, timely, and relevant recording, reporting, and analysis of financial information
- Ensures compliance with applicable standards, rules, regulations and systems of internal controls
- Pick up previous week’s drawers, deposits, and receipts
- Reconcile till variances between POS and drawers; assist Senior Accountant with general ledger and donor database reconciliation
- Support the accounts receivable and payable functions
- Identifies areas for improvement and implement improvements to processes
- Creates custom reports on demand to meet business needs of internal and external customers
- Assist and support all positions within Finance with clerical responsibilities
- Complete all projects presented by management
- Other duties as assigned
REQUIREMENTS & QUALIFICATIONS
Education and Experience
- 2-3 years of accounting/finance experience. Bachelor of Science Degree in accounting, business or data systems or an equivalent combination of education and experience required.
Skills and Abilities
- Strong analytical, flexible, and problem-solving abilities
- Thorough knowledge of general ledger accounting and account reconciliation
- Solid ability to organize, manage and prioritize multiple tasks simultaneously, meet deadlines, and follow up to ensure completion/resolution
- Proficiency with Microsoft Office Products, including Word, Excel, Outlook; NetSuite or similar accounting software; Tessitura or similar donor tracking software
- Ability to maintain strict confidentiality and to handle highly confidential material with discretion
- Must be energetic, articulate and possess strong interpersonal skills
- Excellent analytical skills and proficiency in computer technology
- Demonstrated ability to work effectively in a collaborative team environment with a dynamic range of people and provide support for other staff members
- Ability to read and evaluate business and financial data, professional reports, publications and grant guidelines
Hours and Location
- Expected work hours are 8:00 a.m. – 5:00 p.m., Monday – Friday in the American Song Archives offices
- Ability to work within a flexible work schedule when necessary to reconcile special event, program and exhibit opening budgets
- Consistent and reliable transportation to and from work-related activities must be available
- Minimum travel required (less than 10% of time)
